Privacy Policy

Sovereign Trust handles personal information in accordance with the Act on the Protection of Personal Information (APPI) and the Financial Services Agency's guidelines for the financial sector. This policy explains what we collect, why, and how you can exercise your rights.

1. The business operator handling your information

Sovereign Trust is the personal information handling business operator (個人情報取扱事業者) for information collected through our services. Our registered details and the contact point for enquiries are set out in section 10.

2. Purposes of use

Under the APPI we must specify the purposes for which we use personal information and must not exceed them without your consent. We use personal information for the following purposes:

  • Opening and administering accounts, and confirming your identity as required by the Act on Prevention of Transfer of Criminal Proceeds
  • Executing and settling transfers, deposits, withdrawals and other transactions you instruct
  • Assessing applications for loans, cards and other facilities, including creditworthiness
  • Managing our credit exposure and performing the risk management required of a financial institution
  • Meeting obligations under the Banking Act, tax law and other applicable legislation
  • Detecting and preventing fraud, money laundering and the financing of terrorism
  • Responding to enquiries and providing customer support
  • Informing you about our products and services, where you have not objected

3. Information we collect

We collect only what these purposes require:

  • Identity: name and its katakana reading, date of birth, address, and the identity document you present
  • Contact details: telephone number and email address
  • Account and transaction records, including balances, transfer instructions and counterparties
  • Financial circumstances where you apply for credit: income, employment and existing liabilities
  • Technical records of your use of our services, including access logs and device information

4. Provision to third parties

We do not provide personal information to third parties without your prior consent, except where the APPI permits or requires it — in particular where disclosure is required by law, where it is necessary to protect life or property and consent cannot readily be obtained, or where we are cooperating with a public authority.

Separately from third-party provision, we entrust the handling of personal information to service providers (委託) to the extent necessary to deliver our services, and we supervise them as the APPI requires. Entrustment of this kind does not require your consent.

5. Transfers outside Japan

Where we transfer personal information to a third party located outside Japan, we tell you the country concerned, the personal information protection system in that country, and the measures the recipient takes, and we obtain your consent unless an exception applies.

6. Security control measures

The APPI requires us to publish the measures we take. We maintain an internal handling policy and rules; we appoint a person responsible for personal information management; we train staff who handle personal information; we restrict access by role and record it; we encrypt personal information in transit and at rest; and we hold service providers to equivalent standards under contract.

7. Retention

We retain personal information for as long as your relationship with us continues, and afterwards for the period required by law — including the retention periods imposed by the Banking Act, the Commercial Code and tax legislation. We delete or anonymise information once no purpose and no legal obligation requires it.

8. Requests for disclosure and correction

You may request disclosure of the retained personal data we hold about you, together with its purpose of use, and you may request correction, addition or deletion where it is inaccurate. You may also request that we suspend use or provision to third parties where we have handled it in breach of the APPI.

We will verify your identity before responding. Requests should be sent to the contact point in section 10.

9. Cookies and related information

We use cookies and similar technologies to keep you signed in, remember your language, and protect your account. Where we obtain information that becomes personal information once combined at the recipient (個人関連情報), we confirm that your consent has been obtained before providing it.

If you are not satisfied with our response, you may contact the Personal Information Protection Commission (個人情報保護委員会), or the authorised personal information protection organisation to which we belong.

11. Changes to this policy

We may revise this policy. Where a change is material we will notify you before it takes effect. The current version is always published on this page.
